Stellar Forum Summit

The Big Bang Edition
A three-day operational simulation of space programs
Stellar Forum Summit is a full-scale, three-day operational simulation of space programs designed to replace traditional, repetitive conference formats with high-stakes, mission-critical execution.
The official first edition of Stellar Forum Summit, the ignition point that sets the standard for everything that follows. This edition introduces the foundational framework, mission tracks, and host operations for the SFS lineage.

Core Concept
How the summit works
Stellar Forum Summit is a full-scale, three-day operational simulation of space programs designed to replace traditional, repetitive conference formats with high-stakes, mission-critical execution.
Not a themed conference
Rather than another standard event following the same routine, SFS is built as an immersive simulation: attendees operate inside mission Programs and functional Units, supported by a nine-department host team that makes the experience real.
Programs and Units
Attendees register into Programs, individual mission scenarios that run as dedicated tracks across the summit. Within each Program, participants operate in Units.
Programs & Units
Parallel Missions
Attendees register into Programs, individual mission scenarios that run as dedicated tracks across the summit. Within each Program, participants operate in Units.
Multiple Programs run in parallel throughout the summit. Each Program has its own mission, its own Units, and its own outcome, so the event is not building toward a single summit-wide result. What every Program shares is the same three-day rhythm.
Program leadership
A single Program is led by a Chief, then an Executive Director, then a Co Executive Director.
- 01
Chief
Leads a single Program. Holds overall direction for that Program's mission.
- 02
Executive Director
Supports the Chief in running the Program and coordinating its Units.
- 03
Co Executive Director
Shares Program leadership with the Executive Director, splitting the work of running the mission.
Programs
Each Program has its own mission, Units, leadership chain, and expected outcome. Program details for this edition will be published when they are ready.
Units
Each team within a Program is called a Unit. Units are modeled on real space-mission functions. A Program can include different Units, and participants work inside those Units rather than in a conventional committee format.
Schedule
The three-day progression
What every Program shares is the same three-day rhythm, moving through the same three phases on the same schedule.
Day One
01Launch
Each Program organizes and receives its mandate. The first calls that shape that Program's mission are made.
Day Two
02Activity
Each Program's mission is in motion. This is where the real work, and the real complications, happen.
Day Three
03Success Criteria
Each Program's mission is judged on its own terms. Outcomes from that Program's first two days converge into a final result.
Day One and Day Two matter
Every decision made during Launch on Day One directly influences the active simulation challenges of Day Two, ultimately converging into final success or scrub evaluations on Day Three. Track your assigned Unit timelines, remain adaptable to real-time mission complications, and prepare for a high-stakes event.
Program outcomes
Success or scrub, earned in the simulation
Success
The Program's mission objectives are met across the summit's arc.
Scrub
The Program's mission does not reach its objectives. The result is earned through performance during the simulation.
Participant journey

Infrastructure
The host team behind the mission
Behind the scenes of Stellar Forum Summit is a full-scale operation across nine departments, from venue logistics and financial modeling to design, security, and socials. The experience inside Program rooms is only as real as the infrastructure supporting it.
Host team hierarchyExpand
This is the chain of command on the host side of SFS, from the Administrator down to the people executing work inside each department. Program leadership (Chief, Executive Director, Co Executive Director) is separate and lives inside each Program.
- 01
Administrator
Top of the host team. Holds the vision for SFS as a whole and carries final authority on direction, the role accountable for what SFS becomes as an event.
- 02
Deputy Administrator
Second-in-command across the entire host team. Runs operations when the Administrator is unavailable and coordinates across all three Associate Administrators.
- 03
Associate Administrators
Three areas, Internal, External, and Operations. Each oversees three host departments.
- 04
Director
Heads a single host department, one per department. Owns that department's output and reports up to their Associate Administrator.
- 05
Co-Director
Shares departmental leadership directly with the Director, one per department, splitting the workload of running it.
- 06
Team Lead
Heads a specific division within a department.
- 07
Team Member
The department's on-ground contributors, the people executing the work inside each division.
Nine departments
Each department has a clear mandate and reports up through the hierarchy to one of the three Associate Administrators: Internal (HR, Socials & Shugal, R&D), External (Marketing, Outreach & PR, Finance), and Operations (Logistics, Security, Hospitality).
Internal
Human Resources
Recruits, onboards, and manages the wellbeing of the entire host team, the department that keeps every other department functioning.
Socials & Shugal
Designs the social and entertainment side of SFS, the evenings, the mixers, the moments attendees will actually talk about later on.
Research & Development
Builds the world of SFS, the space-agency theming, scene-setting, and simulation detail that makes this feel real rather than decorative.
External
Marketing
Owns SFS's public voice, branding, social media, and the visual identity that gets this edition noticed before a single attendee arrives.
Outreach & Public Relations
Builds partnerships and external relationships, sponsors, guests, and institutional connections that give SFS credibility beyond its own walls.
Finance
Manages the budget end-to-end, what SFS can afford, where money goes, and what makes the entire summit financially possible.
Operations
Logistics
Handles the physical machinery of the event: venue coordination, seating, delegate kits, timing, and the operational details that decide whether three days run smoothly.
Security
Responsible for the safety and order of the venue throughout the summit, access control, crowd management, and emergency response.
Hospitality
The on-ground care team, welcoming and assisting every attendee, including Program leadership and invited guests, throughout SFS.
